Job Description
Community Legal Information (CLI) is a PEI charity that provides free legal information, public education, lawyer referrals, specialized legal programs, and support. Our goal is to provide PEI residents with useful and understandable information about our laws and the justice system.
The opportunity:
In partnership with the PEI Department of Justice and Public Safety, and the Law Foundation of Prince Edward Island, Community Legal Information is establishing PEI's first Community Legal Clinic (CLC). The Legal Administrator will play a key role in the day-to-day clinic operations, interacting with clients, providing administrative support to two lawyers, and document management. The CLC will operate using a means test. The CLC will be staffed with one Legal Director, one Staff Lawyer, one Legal Administrator, and one Clinic Coordinator.
Key responsibilities for the Legal Administrator will include:
- Responding to client inquiries and community partners by phone, email, and in person.
- Carrying out conflict of interest checks and means tests.
- Maintaining and ensuring the protection of solicitor-client privilege.
- Sharing plain language legal information with clients.
- Drafting and proofreading documents and emails for accuracy, spelling, grammar, and formatting.
- Processing, organizing, and storing documents according to CLI policies.
- Typing, transcribing, scanning, mail merges, creating tables/charts/graphs.
- Filing court documents.
- Coordinating calendars, scheduling client meetings, and assisting with client meetings when necessary.
- Meeting deadlines with the ability to multitask and reprioritize as needed.
- Providing input on client trends and helping track statistics.
- Carrying out office opening and closing duties.
- Arranging couriers, monitoring inventory, and ordering supplies.
- Collaborating with the CLC Coordinator and lawyers.
- Other duties as assigned.
Reporting: The Legal Administrator reports to the Legal Director and the Clinic Coordinator.
Qualifications
Requirements:
- Legal Administration Diploma or equivalent training and experience.
- 2+ years' administrative experience in a legal environment. If no experience in a legal environment, 4+ years' administrative experience in a fast-paced office environment.
- Fluency in English writing, reading and speaking.
- Excellent professional writing skills.
- Advanced ability to use digital technology, including client management software, Google Suite and MS Suite.
- Strong communication skills with demonstrated ability to provide superior client service.
- Exceptional organizational and time management skills.
- Experience drafting and proofreading documents, with exceptional spelling, grammar, and formatting skills.
- Ability to work well independently and take initiative.
- Demonstrated experience working in a collaborative team environment.
Assets:
- Customer service experience or experience working with the general public.
- Fluency in an additional language(s).
Other
Compensation and workplace culture:
- Salary range is $61,000 - $67,000/year, depending on skills and experience.
- Two-year full-time contract position at 32.5 hours per week with the possibility of contract extension.
